Position Summary
We are seeking a Contract Global Mobility Specialist to provide temporary support during a period of increased global mobility activity related to business growth initiatives and acquisition integration activities. This role will focus on coordinating international assignments, managing immigration and visa-related activities, and serving as the primary U.S.-based point of contact for associates, managers, vendors, and internal stakeholders.
The ideal candidate will have hands-on experience administering global mobility programs, coordinating expatriate assignments, and managing immigration processes with external vendors. This is an execution-focused role responsible for ensuring timely completion of mobility, visa, relocation, and assignment-related activities while maintaining compliance with company policies and country requirements.
Key Responsibilities
Assignment Administration
Coordinate end-to-end administration of international assignments, including short-term and long-term assignments.
Support transition activities for associates moving as part of acquisition or business growth initiatives.
Track assignment milestones, required documentation, and key dates.
Maintain assignment records, status reporting, and case tracking documentation.
Coordinate required approvals and internal stakeholder communications.
Immigration & Visa Coordination
Serve as the primary U.S.-based contact for visa and work authorization activities.
Partner with external immigration providers to initiate and monitor visa applications and supporting documentation.
Coordinate collection of employee documentation for visa processing.
Monitor visa status and ensure timely follow-up on pending actions.
Provide guidance to employees and managers regarding immigration process requirements and timelines. External vendors provide immigration expertise and case management support.
KSA Mobility Support
Support associates traveling or relocating to Saudi Arabia under established mobility programs.
Coordinate company-required activities associated with KSA assignments and business travel.
Liaise with HR, Payroll, Tax, Legal, and business leaders to ensure required actions are completed.
Facilitate communication between assignees and external mobility vendors.
Support onboarding activities associated with work visas, residency permits, and assignment setup.
Vendor Coordination
Work directly with immigration, relocation, and mobility vendors.
Monitor case progress and escalate issues as needed.
Schedule and facilitate status meetings with vendors and internal stakeholders.
Ensure vendors receive required documentation and approvals to support timely case processing.
Employee & Manager Support
Respond to employee and manager questions regarding mobility processes.
Provide updates on assignment and visa status.
Coordinate relocation and travel-related logistics as applicable.
Deliver a positive employee experience throughout the assignment lifecycle.
Reporting & Administration
Maintain accurate mobility trackers and reporting tools.
Prepare regular status updates for HR leadership and business stakeholders.
Track open cases, upcoming milestones, and compliance-related actions.
Support process documentation and knowledge transfer activities.
Required Qualifications
Bachelor's degree or equivalent experience.
3-7 years of experience supporting global mobility, immigration, relocation, or international HR programs.
Experience coordinating international assignments and visa processes.
Experience working with immigration and relocation vendors.
Strong project coordination and case management skills.
Excellent organizational skills with the ability to manage multiple concurrent cases.
Advanced Microsoft Office skills, including Excel, PowerPoint, and Teams.
Strong communication and stakeholder management skills.
Preferred Qualifications
Experience supporting Saudi Arabia (KSA) visa and assignment processes.
Familiarity with business traveler, short-term assignment, and expatriate assignment administration.
Experience working within Workday or similar HRIS platforms.
Experience supporting acquisition integrations, employee transitions, or rapid business growth initiatives.
Success Measures
Successful coordination of acquisition-related associate transitions.
Timely initiation and tracking of visa and assignment activities.
Accurate maintenance of mobility records and reporting.
Positive employee and manager experience throughout assignment processes.
Effective partnership with external vendors and internal stakeholders.
